Board Meeting 05/10/2022

This was a very short meeting . Joyce reports we have $1796 in the bank account and $714.70
in Paypal. Leo will take care of the event insurance and D & O and be reimbursed after event.
Ricky has now offered to pay for shirts but wants to give them away and not sell them. He and
Darren will discuss further how this might work. The band Skipper Grace who is interested in
the event might be able to help with this as they have a big following.
Event Meeting 04/26/22

Darren opens with Pig and Pie food truck is setting up smoker and will cook our burgers and hot
dogs. He will also donate some back to the Foundation and also donate drink orders back to the
Foundation.
Darren has signed up with Hogwood and it consists of going to the restaurant and ordering ona
prearranged day and we get 20% of food sales subject to 30 orders. May 9th is target day but no
approval from their management yet.
Darren talked to LEAP who can come and offer fingerprinting to children and take pics. LEAP
can also donate $500 which Scott will accept on behalf of the Foundation at the event.
Dia Morgan may cancel and we will know Wednesday. Darren has reached out to the Austin
Brothers and they agreed. # band members will be paid a total of $450-$500.
Premier Global Productions is who does Ricky’s events He will contact Troy about a stage.
Mike Martinez may sing with the Austin Brothers.
Tim may have an MC called Doc. He feels it is important to have a mc on stage to move the
event along.
Darren has done some research into mascots like T-Rec.
Scott has been in touch with Twine to get tshirts. Tim might have a grantwriter who can assist in
applying for grants.
Darren is going to apply himself to some organizations.
Darren wonders if VolState might donate. Tim and Darren have a meeting Thursday at 1 with
Special Olympics.
Lee Eades will be helping with security. Jimmy Gilliam will coordinate traffic and the ride and will
coordinate with Tim about the route.
No alcohol will be sold at either site by our organization. Little Big Town may donate tickets. We
have sold 5 ride tickets. Jeff Carson has his memorial event on 05/10/22

Darren did not take notes from the prior meeting as Leo was out of town. Minutes from the
special meeting on 03/21/2022 are read and approved. Joyce gives the treasurer’s report with
$1250.00 in the account There is $110.00 in Paypal from wristband sales. Joyce asks for only 1
person to initiate transfers from Paypal and Darren takes that responsibility and the transfers will
be at the end of the month. Leo moves to approve the treasurer’s report and Darren seconds
with all in favor.
Joyce has put together a format to submit our quarterly bank statement summaries on the first
password protected site. This did not include direct donations from board members. The
reimbursement to Chaz will be listed as a payable.
Adam reports he has two estimates from sound people for the motorcycle event and they range
from $1700 to $3000. There are so many events this summer and equipment is in short supply.
We defer any commitment to next meeting so Darren can get info on band. Adam presents the
ticketing website.There is a spot for showtime on the website and the updated location as the
Elks Lodge. The price is $25 per adult person riding a motorcycle and $15 per person not riding
on a motorcycle with under 13 free. We want entertainment to start at 2 with gates open at noon,
Adam has one square reader . Tim arrives to discuss ride. Tony wants a graphic to grab
attention for the ride. Adam publishes the website for tickets so that is now live.
The event is going to be capped at 150 ticket sales for now.
New business is brought up for appointing a new board member. Leo asks to defer for now and
all in favor.
Darren has several motorcycle officers to work with Tim.
Joyce wants the focus of the foundation to be a more uplifting and positive tone and will also file
the 990N annual federal tax return online. Darren adjourns the meeting.

Darren did not take minutes from the prior meeting so minutes from 03/21/22 are read and
approved. Joyce reports on the bank account and we have $1250 in the bank account and
$110.00 in Paypal. From wristband sales. Joyce wants only one person to be able to transfer
funds and Darren will take that responsibility to transfer funds once a month. Leo moves to
accept treasurer’s report and Darren 2nds with all approving.

Adam has quotes from sound guys at around $1700 up to $3000. A basic sound system is
$1700.00 or a bit less. We defer commitment to next meeting til Darren can get infoon the

not riding entrance fee and food available for purchase with under 13 free. Entertainment to start
